Onboarding process

We are so excited you're here and look forward to setting you up for success.

Onboarding is incredibly important at Thoth Tech. We don't expect you to hit the ground running from day one.

We highly recommend taking at least one full day for onboarding. Please feel free to participate in your team's work in the first two weeks, but don't feel like you are under heavy pressure. We are here to help.

The onboarding process for the new team member is self-driven and self-learning, whilst also remaining as asynchronous as possible. It has been developed with three dimensions in mind, namely:

  • Organisational Onboarding
  • Technical Onboarding
  • Social Onboarding

Accounts & Access

  • Submit the onboarding form*
  • Set up a GitHub account (if you do not have one already)
  • Add your contact details in this doc. You will receive an invite to the Thoth Tech organisation on GitHub within 24 hours. Being a member of the organisation allows you to collaborate with others, create new repositories, manage permissions and approval process more effectively.
  • Sign up for a Miro account using your Deakin email address. We use this tool for online collaboration. The Leadership team will later create different projects and invite you.
  • Join the Trello board of your assigned projects.

Company

  • The Thoth Tech charter helps to steer the ways we work and is a living document. It is documented, refined and revised based on lessons learned in the course of doing business. Please familiarise yourself with our Charter.

Products

We have three products at Thoth Tech: OnTrack, SplashKit and DreamBig. Depending on which team you are working with, you are expected to have a good level of understanding about the product and how to set it up. Please follow the applicable product onboarding below.

Social

Starting in a new team can be overwhelming, how about schedule some calls with your team members. The Leadership team would also love to chat. There's no need to ask people if it's okay to schedule a call first. Schedule a meeting using Schedule Assistant in the Outlook calendar. Be sure to introduce yourself in the invite.

Role-specific Tasks

Delivery & Product Lead

  • Get to know your team. Have a look at your team members from the onboarding manual document - this will give you a sense of the roles we had in mind for them.
  • Book your first meeting.
  • Set up a project team channel on Microsoft Team.
  • Set up team work log to record activities of team members.
  • Set up file organisation on Microsoft Team/SharePoint.
  • Get everyone to fill out the teams skill and availability matrix.
  • Decide on a team cadence - stand ups, retros, etc.
  • Decide on how meetings will run - meeting minutes, meeting agendas, etc.
  • How will you collaborate? - Miro? Trello Board?
  • Discuss what activities are needed - upskilling, scoping, etc. What do you need to plan your project?
  • Discuss area alignments for your team - the thing they want to drive (e.g. Tech, QA, Docs, Data - ideally a balance).
  • Information about QA Process to come to talk about in your team meetings.
  • Discussion around project tasks - ensuring everyone is aligned.
